Job Description

We are seeking an exceptionally polished, experienced, and highly resilient Executive Assistant to support a senior executive at a leading financial firm. This is a demanding, high-visibility role requiring an individual who can operate with urgency, discretion, and sound judgment while managing a constantly changing set of priorities.

The ideal candidate will be highly organized and proactive, with the confidence and maturity to support a direct, demanding executive. This person must be thick-skinned, even-keeled, and able to receive candid feedback without taking things personally. The ability to remain calm under pressure, anticipate needs, and consistently deliver at a high level is essential.

Key Responsibilities

  • Provide sophisticated, proactive administrative support to a senior executive in a fast-paced financial environment.

  • Manage an extremely complex and frequently changing calendar, strategically prioritizing meetings and protecting the executive's time.

  • Coordinate extensive domestic and international travel, including complex itineraries, last-minute changes, ground transportation, and accommodations.

  • Serve as a highly effective gatekeeper, managing access and communications with discretion and sound judgment.

  • Coordinate meetings with clients, investors, senior executives, business partners, and other high-level contacts.

  • Prepare the executive for meetings by organizing agendas, briefing materials, presentations, and background information.

  • Track follow-ups, deadlines, and action items to ensure commitments are completed.

  • Draft, edit, and manage correspondence and other confidential communications.

  • Handle highly sensitive business and personal information with absolute discretion.

  • Manage expenses, invoices, and other administrative matters as needed.

  • Coordinate internal and external events, dinners, meetings, and other executive engagements.

  • Assist with special projects, research, and ad hoc initiatives as requested.

  • Work closely with other assistants and members of the executive team to ensure seamless coordination.

  • Anticipate the executive's needs and proactively resolve issues before they become problems.

  • Take ownership of tasks from start to finish and operate with minimal direction.

Qualifications

  • 7+ years of experience supporting a senior executive, preferably within financial services, private equity, hedge funds, investment management, banking, or another high-performance environment.

  • Demonstrated experience supporting a demanding, high-level executive with a complex schedule.

  • Exceptional calendar management and travel coordination skills.

  • Outstanding organizational skills and attention to detail.

  • Excellent written and verbal communication skills.

  • Strong executive presence and the ability to interact confidently with senior-level internal and external stakeholders.

  • Exceptional discretion and judgment when handling confidential information.

  • Highly responsive, proactive, and resourceful.

  • Strong ability to prioritize and manage competing demands in a high-pressure environment.

  • Proficiency with Microsoft Office and/or Google Workspace.

  • Comfortable working with technology and adopting new tools and systems.

  • Bachelor's degree preferred.
