Operations Support Coordinator

About the Role

The Operations Support Specialist would support the systems, processes and leaders that help our organization grow. You'll coordinate agency operations, including carrier administration, systems management, data accuracy, workflows and compliance. You'll also provide admin support to senior leaders. This role suits someone who likes digging into systems and data, building better processes and working across teams.

Responsibilities

• Manage carrier website access, onboarding and offboarding users, and credentials


• Help set up new carrier relationships and handle carrier documents, audits and compliance requests


• Manage records, user roles, reassignments and settings in the agency management system, support daily downloads and fix exceptions


• Analyze system data, run regular audits and flag trends or issues for leadership


• Work with the technology, accounting and service teams to get more out of our systems


• Monitor carrier financial strength ratings and flag potential concerns


• Coordinate agency and individual insurance licensing and related compliance work


• Help prepare for internal audits, manage documentation and respond to regulatory requests


• Create and maintain SOPs, workflow guides and other operations documents


• Provide admin and project support to executive leaders, including calendars, meetings, planning sessions, travel and expense reports

Qualifications

• 3+ years in insurance operations, agency administration, business operations, systems or data administration, or executive support


• Insurance brokerage or professional services experience strongly preferred


• Experience with an agency management system (Applied Epic preferred) or similar business systems


• Strong Excel skills (pivot tables, VLOOKUPs) and advanced Outlook, PowerPoint and Teams


• Proven ability to manage several priorities and work across departments


• Experience creating or improving processes and documentation


• Organized, a strong communicator, discreet and detail-oriented
