Our client is a global luxury goods firm. They seek an Executive Assistant to support their Executive floor in their Manhattan, NY office. This is fully onsite.
Responsibilities
- Provide high-level administrative support to executives while demonstrating professionalism, discretion, and strong judgment
- Manage complex calendars, coordinate meetings, send invitations, and secure meeting space
- Anticipate executives’ needs, upcoming tasks, and future requests to ensure seamless day-to-day support
- Coordinate domestic and international travel logistics, itineraries, and agendas for executives and VIP guests
- Prepare and process executive and VIP expense reports
- Support executive correspondence, company-wide mailings and emails, databases, presentations, recurring reports, and meeting minutes
- Assist with company events, including employee celebrations and industry dinners, coordinating guest lists, name tags, agendas, and other logistics
- Partner cross-functionally with internal teams on company-wide initiatives, events, commercial summits, and IT implementations
- Manage executive-floor visitors in partnership with Security, Facilities, and IT
- Maintain the executive office environment, including supplies, refreshments, flowers, and other day-to-day needs
- Coordinate daily catering and restaurant reservations
- Handle a high volume of work while maintaining exceptional attention to detail and responding quickly to changing priorities
Requirements
- Bachelor’s degree required
- 3+ years of relevant Executive Assistant or administrative support experience
- Advanced proficiency in Microsoft Office, including PowerPoint, Word, Excel, Acrobat, and Outlook
- Strong business etiquette with a polished and professional demeanor
- Excellent organizational skills with the ability to manage multiple priorities and high-volume workloads
- Strong written and verbal communication skills
- Willingness to learn new skills and take on responsibilities across multiple levels
