This position is ideal for someone who enjoys variety and is comfortable balancing <strong>accounting responsibilities, administrative support, customer service, and occasional HR assistance</strong>.</p><p>The ideal candidate will have experience with <strong>QuickBooks, accounts payable/receivable, reconciliations, and Excel</strong> and be comfortable managing multiple priorities in a fast-paced office environment.</p><h2><u>What You'll Do</u></h2><h3>Accounting & Payroll Support</h3><ul><li>Support <strong>accounts payable and accounts receivable</strong> functions<li>Match purchase orders and enter bills and credit card transactions into QuickBooks<li>Enter deposits, handle checks, and maintain accurate financial records<li>Assist with customer invoicing, including down payments<li>Reconcile bank and credit card statements<li>Prepare commission statements and lien waivers<li>Complete credit applications and maintain W-9 and insurance documentation<li>Review company gas card transactions and identify discrepancies<li>Review employee timesheets for missing punches, unusual hours, and other discrepancies before payroll<li>Complete weekly spreadsheets, reports, and management scorecards</ul><h3>Administrative & Office Support</h3><ul><li>Answer incoming calls and direct them to the appropriate team member<li>Greet customers and visitors and assist with basic questions<li>Provide general showroom support when sales staff are unavailable<li>Manage incoming and outgoing mail and general front-office responsibilities<li>Maintain office supply inventory and coordinate orders<li>Prepare spreadsheets, reports, meeting agendas, and other documentation for management<li>Take meeting notes as requested<li>Assist with company events and other administrative projects</ul><h3>HR & Operational Support</h3><ul><li>Serve as backup support for HR, including preparing new-hire paperwork and assisting with onboarding when needed<li>Help maintain employee attendance records<li>Review and organize production and installation work-order documentation<li>Upload drawings and provide administrative support to the estimating and design teams<li>Assist with basic marketing needs, including organizing project photos and helping prepare social media content<li>Help maintain an organized and professional showroom and office environment</ul><h2>What We're Looking For</h2><ul><li>Previous accounting, bookkeeping, administrative, or office support experience<li><strong>QuickBooks experience strongly preferred</strong><li>Experience with accounts payable and/or accounts receivable<li>Proficiency with <strong>Microsoft Excel</strong>, including spreadsheets and basic formulas<li>Understanding of basic accounting principles, reconciliations, and financial documentation<li>Strong data-entry skills with a high level of accuracy<li>Excellent organization and time-management skills<li>Ability to manage multiple responsibilities and changing priorities<li>Professional communication and customer-service skills<li>Strong attention to detail and ability to identify discrepancies</ul><h2>Work Environment</h2><p>This is a <strong>100% onsite position</strong> working in a professional office and shop environment. The role is fast-paced and requires frequent use of computers, phones, and other standard office equipment.
